The club management platform's member onboarding flow digitises the membership application process end-to-end: prospective members complete a digital application form, upload required documents (ID, qualifying certificates for restricted membership categories), and pay the joining fee via Stripe — all from the mobile app or web portal. Club administrators review pending applications in a queue, approve or decline with a required reason, and approved members receive an immediate digital membership card with a unique barcode for venue check-in. The joining fee payment is held in Stripe until application approval, then captured on approval or released on decline.
Event management supports two booking models: free-entry events with capacity caps (bookings are a commitment, not a payment) and paid events with per-ticket pricing and quantity limits per member. The event listing page shows remaining capacity in real time — once capacity is reached, bookings move to a waitlist with automatic promotion when cancellations occur. Recurring events (weekly training sessions, monthly socials) are configured as event series with a single setup, generating individual event instances automatically up to 12 months forward.
Financial management covers membership dues, event ticket revenue, bar and café POS transactions, and facility hire bookings in a single consolidated ledger. The treasurer's dashboard shows current month revenue by category, outstanding invoices (members with overdue annual subscriptions), and a year-to-date comparison to the prior year. Annual subscription renewals are managed through a renewal campaign module: 60-day advance renewal notices, automated reminders at 30 and 7 days, and automatic membership suspension on expiry date if no renewal payment is received.
