System Loco's inventory management architecture is built around a transaction ledger model rather than a simple quantity field — every stock movement (purchase receipt, sales shipment, transfer between locations, adjustment, write-off) writes an immutable transaction record, and current stock quantity is always computed as the sum of transactions. This ledger approach means full inventory history is permanently auditable: at any point, a warehouse manager or auditor can reconstruct exactly which transactions produced the current stock level for any SKU. It also enables point-in-time inventory valuation — the system can calculate the value of inventory as of any historical date for financial reporting, using FIFO, LIFO, or weighted average cost methods.

The barcode and QR scanning workflow uses the device camera via a WebRTC-based scanner component — no dedicated hardware required. Warehouse staff scan items on receipt, putaway, pick, and ship using any modern smartphone or tablet. The scan triggers a real-time lookup of the SKU database and displays product details, current stock level across all locations, and any active purchase orders or sales orders awaiting this product. The put-away flow guides staff to the configured bin location for each SKU based on zone assignment by product category and velocity-based positioning for fast-movers.

Reorder point automation monitors stock levels against configured reorder points and reorder quantities for every active SKU. When stock falls below the reorder point, the system creates a draft purchase order for supplier approval — or, for pre-approved suppliers with configured auto-reorder rules, submits the purchase order via EDI or email automatically. This automated replenishment logic eliminated stockout incidents by 73% in the first quarter post-deployment, as the most common cause of stockouts (forgotten manual reordering) was removed from the process entirely.
