GymApp: A Members-First Operating System for Boutique Gyms (2026)

Most gym software was built for the back office — spreadsheets disguised as dashboards and reports nobody reads. The 2026 rebuild of GymApp started from the opposite premise: software that disappears, so coaching doesn't have to. This is a walkthrough of what GymApp is now, the twelve modules it ships, the architecture underneath, and why it is built for the floor — the front desk and the squat rack — not the spreadsheet.

The problem: sticky notes, spreadsheets, stress

Most gyms run on five disconnected tools and a head full of Post-its. Class schedules live on whiteboards and in DMs. Membership renewals get chased by hand every month. Trainers, admins, and members are on different pages — literally. The cost is measurable:

Class scheduling

Drag-to-build weekly schedules. Waitlists, capacity, and trainer assignment are handled, with recurring blocks, automatic waitlist promotion, and trainer payroll baked in.

QR check-in

Tap to enter. The kiosk knows who's late, who's new, and who's back. Each member's QR code refreshes on a short cycle to prevent screenshot sharing, and a live feed shows the front desk who is in the building right now. Check-in dropped from roughly 45 seconds of manual lookup to under 8 seconds.

Billing & invoices

Membership plans, one-time payments, automated reminders, and branded receipts — Stripe-native, with automatic dunning on failed payments and PDF receipts.

Your gym, in every member's pocket

Every plan includes a native iOS and Android app under your brand. Members check in, book classes, track progress, and stay connected wherever they are:

Architecture underneath

The white-label model drives the architecture. GymApp is multi-tenant on a shared PostgreSQL schema with Row-Level Security (RLS): every table carries a tenant ID, and RLS policies reject cross-tenant queries at the database layer — so a bug in the application cannot leak another gym's data. Branding is stored per tenant and applied at runtime, so a member opening the app for Gold's Gym sees Gold's Gym, not the platform.

Billing uses Stripe in two modes: Stripe Subscriptions for recurring memberships (with Smart Retries to recover failed payments) and Stripe Connect for the licensing model, paying each operator directly with platform fees withheld automatically. The member app is built in Flutter (one codebase, native iOS and Android); the staff dashboard is React 18 + TypeScript with real-time occupancy over WebSockets. Multi-location chains get consolidated reporting through the Branches module, while a 4-tier RBAC (Super Admin, Gym Owner, Coach, Member) enforces least-privilege access.

Pricing

GymApp is one price for the whole platform. Studio is $49/month (one location, up to 200 members). Growth is $129/month (three locations, unlimited members, POS and workout tracking). Franchise is $299/month (unlimited locations, full white-label, source-code licence available). Annual billing saves two months, and there is a 14-day free trial.
