GymApp: A Members-First Operating System for Boutique Gyms (2026)
    Quick Answer

GymApp is a members-first operating system for boutique gyms built by Ortem Technologies. It replaces five-to-six fragmented tools with twelve modules under one login — members, classes, QR check-in, billing, reports, shop & POS, challenges, waivers, comms, reminders, multi-location branches, and branded iOS + Android apps. Every plan ships the full platform (no per-seat upsells), it is white-label end-to-end (your logo, colors, and domain), and pricing starts at $49/month.

A gym operating system is a single platform that runs every front-of-house and back-office workflow a studio needs — scheduling, check-in, billing, POS, member comms, and a branded member app — instead of stitching together separate point tools. GymApp is that operating system, built for the floor rather than the back office.

Most gym software was built for the back office — spreadsheets disguised as dashboards and reports nobody reads. The 2026 rebuild of GymApp started from the opposite premise: software that disappears, so coaching doesn't have to. This is a walkthrough of what GymApp is now, the twelve modules it ships, the architecture underneath, and why it is built for the floor — the front desk and the squat rack — not the spreadsheet.

The problem: sticky notes, spreadsheets, stress

Most gyms run on five disconnected tools and a head full of Post-its. Class schedules live on whiteboards and in DMs. Membership renewals get chased by hand every month. Trainers, admins, and members are on different pages — literally. The cost is measurable:

    • 5+ tools juggled to run one studio
    • ~4 hours of admin lost every week per location
    • ~18% revenue leakage from missed renewals and failed payments

Bookings get missed, payments slip, members get forgotten. The incumbents — Mindbody, Glofox, Zen Planner — solve fragments of this but share the same problems: per-location licensing, no real white-label, and interfaces that haven't meaningfully changed in years.

GymApp replaces five disconnected tools with one platform

The order: one platform, every move

GymApp replaces the chaos with one operating system for the gym — bookings, billing, attendance, and branded apps all in sync. Two design rules drove every decision:

    1. Speed is respect. Every screen loads in under a second. Members move; software shouldn't make them wait.
    2. Your brand, not ours. The member portal, the mobile app, and the domain are yours. Members see your gym, never our logo.

Twelve modules. One login. Zero add-ons.

The biggest change in this release is packaging. There are no upsells and no per-seat surprises — every plan ships the full operating system from day one:

    MembersProfiles, waivers, CSV import
    ClassesSchedule, waitlists, capacity

The twelve GymApp modules in one login

    Class scheduling

Drag-to-build weekly schedules. Waitlists, capacity, and trainer assignment are handled, with recurring blocks, automatic waitlist promotion, and trainer payroll baked in.

    QR check-in

Tap to enter. The kiosk knows who's late, who's new, and who's back. Each member's QR code refreshes on a short cycle to prevent screenshot sharing, and a live feed shows the front desk who is in the building right now. Check-in dropped from roughly 45 seconds of manual lookup to under 8 seconds.

    Billing & invoices

Membership plans, one-time payments, automated reminders, and branded receipts — Stripe-native, with automatic dunning on failed payments and PDF receipts.

Your gym, in every member's pocket

Every plan includes a native iOS and Android app under your brand. Members check in, book classes, track progress, and stay connected wherever they are:

    • One-tap check-in — a QR code on the home screen; scan and you're in, no fob, no queue
    • Book any class — browse the schedule, reserve a spot, or join the waitlist in seconds
    • Track progress — workout plans, PRs, progress photos, and challenge leaderboards
    • Smart reminders — push notifications for upcoming classes, renewals, and announcements
    • Face ID login — biometric sign-in, secure and instant
    • iOS + Android — native apps on both stores at no extra cost

    Launch GymApp as your own

For gym chains and operators who want to license the platform, GymApp is white-label end-to-end. Take the entire platform, rebrand it, and ship it under your own company:

    • Your brand, end-to-end — custom logo, colors, typography, favicon, and email templates; members see you, not us
    • Your domain — run the platform at app.yourcompany.com with full SSL; we handle DNS, hosting, and uptime
    • iOS & Android, branded — publish to the App Store and Play Store under your developer account; splash, icon, and name are yours
    • Multi-tenant ready — onboard unlimited gyms under one console, with per-tenant branding, billing, and reporting

GymApp white-label: your brand, your domain, your apps

    Architecture underneath

The white-label model drives the architecture. GymApp is multi-tenant on a shared PostgreSQL schema with Row-Level Security (RLS): every table carries a tenant ID, and RLS policies reject cross-tenant queries at the database layer — so a bug in the application cannot leak another gym's data. Branding is stored per tenant and applied at runtime, so a member opening the app for Gold's Gym sees Gold's Gym, not the platform.

Billing uses Stripe in two modes: Stripe Subscriptions for recurring memberships (with Smart Retries to recover failed payments) and Stripe Connect for the licensing model, paying each operator directly with platform fees withheld automatically. The member app is built in Flutter (one codebase, native iOS and Android); the staff dashboard is React 18 + TypeScript with real-time occupancy over WebSockets. Multi-location chains get consolidated reporting through the Branches module, while a 4-tier RBAC (Super Admin, Gym Owner, Coach, Member) enforces least-privilege access.

    What changed in this release

    • Repackaged to one flat plan — all twelve modules ship in every tier; you scale on locations and members, never features
    • QR kiosk + live attendance feed replaced the older manual check-in flow
    • Branded native apps included in every plan instead of as an add-on
    • White-label hardened — your domain, your developer account, multi-tenant console
    • Editorial product experience — a faster, members-first interface built around movement, not dashboards

    Pricing

GymApp is one price for the whole platform. Studio is $49/month (one location, up to 200 members). Growth is $129/month (three locations, unlimited members, POS and workout tracking). Franchise is $299/month (unlimited locations, full white-label, source-code licence available). Annual billing saves two months, and there is a 14-day free trial.
